QuickBooks AI Reconciliation and What You Still Need to Review

QuickBooks can compare an uploaded statement with your records. Learn which results need review and how an AI agent can help investigate exceptions.

QuickBooks Online has AI reconciliation assistance, but you still need to review the statement, matches and exceptions. Intuit calls the US feature AI Powered Reconciliation; some guides call it the Reconcile Companion. It extracts information from a bank statement and compares it with records already in QuickBooks.

Intuit's US instructions list QuickBooks Online Plus, Advanced and Intuit Enterprise Suite as supported plans. Availability and labels can differ by region. The steps below distinguish that built-in feature from an external AI agent connected through DeepLedger.

Start with the statement and the correct account

Have the complete statement for the account and period you intend to reconcile. Confirm the company, account, statement dates and beginning balance before reviewing new matches. If earlier reconciled transactions have changed, resolve that discrepancy before carrying the balance forward.

A bank feed is useful for recording activity, but it is not a replacement for the statement. Likewise, a list of transactions returned by an AI tool does not establish that every statement line is present.

If several months are missing or unreliable, use the QuickBooks cleanup and catch-up sequence first. That guide establishes the last reliable reconciliation and works forward one statement period at a time.

Open AI Powered Reconciliation

The current US workflow is:

  1. Open All apps → Accounting → Reconcile.
  2. Use Upload or Statement Auto Import to select the applicable statement.
  3. Check the ending balance and ending date that QuickBooks extracts.
  4. Let extraction finish, then select Start reconciling.
  5. Open Insights to review the comparison.

Check the account and extracted fields against the document itself. If the AI feature is unavailable, use Intuit's standard reconciliation instructions. Connecting an external AI service does not enable an unavailable QuickBooks plan feature.

Read the Insights groups as review queues

Intuit describes three groups: paired transactions, bank-feed transactions still needing review, and extra uncleared QuickBooks transactions absent from the statement. Those groups identify where to look; they do not decide the accounting treatment for you.

For a paired item, compare the underlying records before accepting the match. For an item still in the bank-feed review queue, check whether the transaction already exists in the ledger before adding it. For an extra ledger item, investigate whether the issue is timing or an actual duplicate or error.

Consider this illustrative exception list:

FindingEvidence to checkPossible next step
Two expenses with the same merchant and amountReceipts, dates, payment references and existing transaction IDsEstablish whether they are separate purchases before proposing a correction
Payment in QuickBooks absent from the statementStatement cutoff and the payment's clearing statusCarry a legitimate outstanding item forward with an explanation
Statement payment that might settle a billOpen bill, vendor, amount and payment historyReview the relationship before creating another expense
Similar amounts in two bank accountsBoth statements and transfer referencesInvestigate a transfer before treating either side as income or expense

An identical amount alone is not enough to establish a match. Keep the unresolved item and the missing evidence visible to the person reviewing the books.

Use an external AI agent to investigate exceptions

DeepLedger can give an AI agent access to supported QuickBooks reports, transaction lookups and review Tasks. That can help explain an unusual ledger entry or assemble questions about possible duplicates. It cannot finish the QuickBooks bank reconciliation through its MCP tools.

DeepLedger-connected bank feeds and QuickBooks' own pending bank-feed inbox are separate sources. See the uncategorized-transactions guide before assuming a tool has reviewed both.

Start with a narrow request:

Confirm the company and the bank account I selected. Retrieve its posted ledger activity for September 2026, including all available pages. For each exception I provide, find possible related records and show their IDs, dates and amounts. Separate confirmed facts from possible matches. Prepare questions for missing evidence. Do not create, update, void or mark any transaction reconciled.

Provide only documents your organization has approved for that AI provider. Ask for the source of each conclusion. If the tool cannot retrieve a required record, preserve that gap instead of accepting a guessed match.

Finish in QuickBooks and retain the result

Follow the QuickBooks reconciliation workflow: compare the transactions with the statement, resolve the difference, and finish the reconciliation in QuickBooks. Retain the resulting reconciliation report with the statement and any supporting explanations.

Do not change the statement balance merely to force a zero difference. If the entered balance or date is wrong, correct it to the statement. If the discrepancy comes from a transaction, investigate that record. Changes affecting a closed or filed period need the responsible reviewer's decision.

A zero difference does not establish that the expense categories, business purpose or tax treatment are correct. Those are separate review questions. Similarly, a completed DeepLedger task or close checklist does not replace the QuickBooks reconciliation report.

For the wider month-end process, use how DeepLedger's workflow works. If you are behind by several periods, return to the catch-up guide and repeat the checks chronologically.

Frequently asked questions

Does QuickBooks Online have AI reconciliation?

Yes. Intuit's US help describes AI Powered Reconciliation for QuickBooks Online Plus, Advanced and Intuit Enterprise Suite. It extracts statement information and compares it with QuickBooks records. Check availability in your plan and region.

Can DeepLedger finish a QuickBooks bank reconciliation?

No. DeepLedger can help retrieve ledger records, investigate possible exceptions and prepare review questions. Complete the reconciliation in QuickBooks and retain its reconciliation report.

Does a zero reconciliation difference mean every category is correct?

No. Agreement with the statement does not establish the correct expense category, business purpose or tax treatment. Review those separately against the supporting records.
