How to Connect Claude to QuickBooks Online (2026 Guide)

Connect Claude to QuickBooks Online with DeepLedger. Follow the screenshots, verify a dated report, and try reviewed prompts for expenses and bills.

Connect Claude to QuickBooks Online by adding DeepLedger as a custom connector. Connect your company in DeepLedger, add https://mcp.deepledger.ai/mcp in Claude, then sign in and confirm the company. Your AI agent can then record transactions, retrieve reports, and work with you on tasks and month-end close.

What you can do after connecting

Through DeepLedger, you can ask your AI agent to:

  • Record purchases: bills, expenses, bill payments, and vendor credits.
  • Manage sales records: estimates, invoices, customer payments, sales receipts, customer credits, and refund receipts.
  • Record other transactions: bank deposits, transfers between accounts, and journal entries.
  • Run reports: profit and loss, balance sheet, cash flow, accounts receivable and payable aging, general ledger, and trial balance.
  • Prepare month-end close: track close checks, flag issues, assemble financial statements, and propose adjusting entries in DeepLedger's Close Sheet. You review the work and sign off in the portal.
  • Work through tasks: raise questions, request missing documents, hand work between you and the AI agent, and track resolution in DeepLedger's Tasks.
  • Find supporting information: look up customers, vendors, accounts, transactions, connected bank-feed entries, and uploaded documents.

Two ways to connect Claude to QuickBooks

Intuit's connector supports reports, industry benchmarking, transaction imports, invoices and estimates. Find QuickBooks in Claude's connector directory to use that route; see Intuit's instructions.

DeepLedger's custom connector provides the capabilities above, including DeepLedger Tasks, Close Sheet and access to multiple connected companies. The screenshots below follow this route.

Before you start

  • DeepLedger: an account with access to your company.
  • QuickBooks Online: open Settings → Company and QBO Connect, find your company under Companies, choose Connect QB and complete Intuit authorization.
  • Claude: access to custom connectors. Check Claude's supported plans and workspace requirements. On Team or Enterprise, an owner adds the connector first.

Step 1: Open Claude's Connectors

Open Customize → Connectors → Add, then choose the custom connector option. Some versions show + → Add custom connector.

On Team or Enterprise, an owner first uses Organization settings → Connectors → Add → Custom → Web to add the server URL. Members then find it in Customize → Connectors and proceed to sign-in.

Step 2: Add the DeepLedger server URL

Name the connector DeepLedger Quickbooks Integration, as shown, or choose your own recognizable name. Paste:

Step 3: Keep the detected sign-in settings

In the captured interface, Claude detects Sign in now and Register automatically. Keep those selections and finish adding the connector. You do not need to supply your own OAuth client credentials.

Step 4: Connect and sign in to DeepLedger

On the connector page, select Connect.

Step 5: Review permissions and enable the connector

The connected page now shows Disconnect and Tool permissions. Review the tools you want to allow; available actions include both reports and bookkeeping writes. In a new conversation, use + → Connectors to enable DeepLedger if needed.

Next step: verify one company and one report

In DeepLedger Settings → Company and QBO Connect, find the intended company under Companies. If it is not connected, choose Connect QB and have an authorized person complete Intuit sign-in. Start with a demo company when testing a new AI provider; do not send private business reports until your organization has approved that provider and its data settings.

With DeepLedger enabled in your AI client, ask:

Using DeepLedger, list the companies I can access and identify the active company. Ask me which company to use. After I choose, select it and confirm its name and company identifier. Do not create or change accounting records.

Company selection can persist across your connected AI clients. Confirm it again when changing sessions; a company-bound credential may not allow switching. See selecting the right QuickBooks company.

Then replace the bracketed name with that confirmed company:

Using DeepLedger for [confirmed company], retrieve the profit and loss for September 1 through September 30, 2026, on an accrual basis. Show the returned company name and identifier, exact dates, accounting basis, currency, income, expenses and net income. Do not create or change accounting records. If the company or report settings cannot be confirmed, stop and explain the missing information.

In QuickBooks Online → Reports → Profit and Loss, run the report for the same company, September 1–30, 2026, accrual basis, currency and filters. Compare income, expenses and net income, then investigate any differing account lines. A successful tool response includes report data and matching context; a “connected” badge or an AI summary alone is not verification. If totals differ, correct the context and rerun before relying on the result. Follow the P&L analysis and verification workflow.

A read-only prompt is not read-only permissions. The connection can expose write tools; review permissions and proposed actions. After the report agrees, choose a real task from the journal-entry review workflow or overdue-invoice workflow, adapting the client-specific steps to your AI app.

Optional: review a demo-company write

The report comparison above is enough to check the connection. If you also want to test a write, use a demo company and deliberately approve a real test entry. This existing example creates an expense; do not run it in business books just to test setup:

Using DeepLedger for the QuickBooks company already connected here, propose a small $1.00 office-supplies expense paid today from Checking (or the closest matching bank and expense accounts you find). Show me the full proposed entry and wait for my confirmation before saving. After I confirm, record it and reply with the QuickBooks transaction id. If anything is unclear, create a DeepLedger task instead of guessing.

Claude should show the proposed entry and wait for your confirmation. After you confirm:

  • Success in the portal shows as Recorded in QuickBooks on Activity, with the QuickBooks transaction id in the reply and on that activity row.
  • If the agent is unsure, it creates a Tasks item labeled Needs your review instead of guessing.

Record a paid expense

Using DeepLedger for [company], record a [currency and amount] software subscription paid to [vendor] on [date] from [bank or credit card account], categorized to [expense account]. Check for an existing transaction and show me the proposed entry before saving. After I confirm, record it and return the QuickBooks transaction reference.

Record an unpaid bill

Using DeepLedger for [company], prepare an unpaid bill from this attached vendor invoice. Check for duplicates, use the invoice number, date, due date, line amounts and taxes, and propose the expense categories. Ask me for missing details and show the bill for confirmation before recording it.

Run financial reports

Using DeepLedger for [company], get the profit and loss for [start date] through [end date] and the balance sheet as of [end date], using [cash or accrual] basis. Show the company, dates, currency and report totals, then summarize the main changes from the previous period.

Save and reuse a custom report

In DeepLedger for [company], save a custom report called "Monthly business review": last month's accrual profit and loss compared with the prior month, plus the balance sheet as of last month-end. Include instructions to highlight the largest changes in income and expenses. Run it now.

Next time:

Using DeepLedger for [company], run my saved "Monthly business review" for [start date] through [end date].

The custom report definition is saved in DeepLedger and retrieves current QuickBooks data each time you run it.

Troubleshooting the connection

Add custom connector is missing

Check Claude's linked plan and workspace requirements. On Team or Enterprise, ask the owner to add the connector. If DeepLedger is already listed, use Connect rather than adding it again.

Sign-in does not finish

Confirm you can sign in to DeepLedger and access your company, then retry Connect. Check the exact server URL and the detected authentication settings.

Connected, but no tools are used

Enable DeepLedger through + → Connectors in a fresh conversation and request the active company. If the URL is wrong, remove the connector and add it again with the correct address.

The wrong company appears or QuickBooks requests fail

Ask for the company list and switch to the intended one. If its QuickBooks authorization has expired, reconnect that company under Settings → Company and QBO Connect in DeepLedger.

A report works, but the bank feed is empty

DeepLedger's Bank Feed needs a connected bank account or imported statement. Connecting QuickBooks alone does not populate that separate feed.

Disconnecting DeepLedger

Select Disconnect on the Claude connector page to unlink your sign-in, or remove the connector from Customize → Connectors. To disconnect the underlying QuickBooks company from DeepLedger, an owner or admin can use that company's Disconnect action in Settings → Company and QBO Connect.

Frequently asked questions

How do I connect Claude to QuickBooks Online?

Connect your company to DeepLedger, add https://mcp.deepledger.ai/mcp as a custom connector in Claude, and sign in to DeepLedger. Enable the connector, confirm the company and compare a dated profit and loss with QuickBooks. An optional demo expense write can then be checked in Activity for Recorded in QuickBooks and its transaction id. Team and Enterprise users need an owner to add the connector first.

Does QuickBooks have a built-in Claude connector?

Yes. Intuit's QuickBooks connector supports financial reports, industry benchmarking, transaction imports, invoices and estimates. DeepLedger is a separate connection with the bookkeeping, Tasks and Close Sheet workflows described in this guide.

Do I need a QuickBooks developer account or API key?

No. Connect QuickBooks through Intuit authorization and sign in to DeepLedger when Claude prompts you. This hosted setup needs no local server, Intuit developer app or manually copied API key.

Can Claude write to QuickBooks or only read it?

The DeepLedger connection supports both reports and bookkeeping writes, including bills, expenses, invoices and journal entries. A report-only prompt does not change tool permissions. Review those permissions before requesting changes.

What happens when Claude is unsure about a transaction?

The AI agent can ask you for missing details or create a DeepLedger task labeled Needs your review. Tasks support questions, proposed treatment and handoffs; you can review and respond in the portal.

How do I disconnect Claude from QuickBooks?

Disconnect DeepLedger on its Claude connector page, or remove the connector from Customize > Connectors. To disconnect the underlying QuickBooks company, a DeepLedger owner or admin can use its Disconnect action in DeepLedger Settings > Company and QBO Connect. That affects other workflows using the same company connection.

Does the same setup work in Claude Code?
