How to Fix Uncategorized Transactions in QuickBooks Online

Where Uncategorized Expense, Uncategorized Income, and Uncategorized Asset balances come from, how to find every one of them in two reports, the manual batch-fix workflow, and how an AI agent clears the same backlog while you approve the judgment calls.

Open the Profit and Loss, and there it is: a line called Uncategorized Expense with four figures in it, quietly making every other number on the statement less true. Maybe its siblings too: Uncategorized Income, Uncategorized Asset, and the honestly named Ask My Accountant.

This is one of the most common messes in QuickBooks Online, and one of the most mechanical to fix. Here is where these balances come from, how to find every transaction feeding them, the manual cleanup workflow, and the version where an AI agent does the reading while you make the calls.

Where Uncategorized Transactions Come From

QuickBooks never invents these accounts to annoy you; they're the default landing spots when a transaction arrives without a decision attached:

  • Bank feed auto-adds. Transactions accepted from the feed without a category, or with automatic add turned on and no matching rule, land in Uncategorized Expense or Uncategorized Income.
  • Imports without rules. CSV and statement imports for months of history, added in bulk with nobody categorizing line by line.
  • Opening balances. Entering a bank account's opening balance without specifying an equity account parks it in Uncategorized Asset, which is why that account so often holds exactly one confusing round number.
  • Unmatched transfers. Money moving between your own accounts that the feed couldn't pair up.
  • "I'll decide later." Ask My Accountant is that decision, deferred. It's a fine parking lot and a terrible permanent address.

A handful of these is Tuesday. A standing balance means your books systematically understate some real expense or income category, your tax deductions are hiding in an account no preparer can use, and anyone reading the statements can see the bookkeeping isn't finished.

Step 1: Get the Full Inventory

Don't fix what you haven't counted. In QuickBooks Online:

  1. Go to Reports, then Transaction List by Account.
  2. Set the date range to cover the whole problem (when in doubt, all dates).
  3. Filter the account list to Uncategorized Expense, Uncategorized Income, Uncategorized Asset, and Ask My Accountant.
  4. Sort by vendor or description.

Sorting is the trick: what looks like three hundred separate decisions is usually twenty vendors repeating. Fourteen Shell stations are one decision (fuel), not fourteen.

Step 2: Recategorize in Batches, Oldest First

Work the list by vendor pattern, not by date order within a vendor:

  • In the register or the report drill-down, open each transaction and change the category from the holding account to the real one. For a run of similar transactions, QuickBooks' batch actions (select, then reclassify) do the repetitive part; accountant users have the Reclassify Transactions tool, which is built for exactly this.
  • Create a bank rule per settled pattern so the same vendor never lands uncategorized again. A rule is the difference between a cleanup and a treadmill.
  • Uncategorized Asset needs reading, not bulk edits. Opening balances belong against the right equity account, and unmatched transfers should be matched to their other side, not expensed. If an entry there traces to a filed year, that's a question for your accountant before you touch it.

Two rules that keep the cleanup from creating a worse mess. First, don't delete: deleting destroys the audit trail and can silently undo reconciliations; recategorize real transactions and void true duplicates so the record survives, which is the standard any reviewer will hold your books to. Second, re-run the reports when you're done: the job is finished when the holding accounts show zero balance for every period and your P&L absorbed the reality that was hiding in them.

The Version Where You Don't Read Three Hundred Transactions

Frequently Asked Questions

What's the difference between Uncategorized Expense and Ask My Accountant? Mechanically nothing (both are holding accounts); culturally everything. Uncategorized Expense is a default nobody chose. Ask My Accountant is a deliberate deferral, so treat its contents as an actual question list for a professional, not as bulk-recategorization fodder.

Can I just make a rule that categorizes everything automatically? You can, and it's how holding accounts get replaced by confidently wrong categories. Rules should encode decisions you've actually made per vendor pattern. An agent proposing categories with evidence, and a human approving the uncertain ones, is the same idea with judgment kept in the loop.
