5 Grok Prompts for QuickBooks Bills, Expenses, Invoices and Reports

Use Grok with DeepLedger to record bills, expenses, invoices and deposits, then review QuickBooks reports with clear, copyable prompts.

Once Grok is connected to QuickBooks Online through DeepLedger, you can ask it to record a supplier bill, enter a paid expense, create an invoice, record a deposit or explain a financial report. A useful prompt gives Grok the document, the company and the outcome you want.

The examples below use Pinebridge Studio, a fictional business. Replace that name, the dates, account names and amounts with your own information. These are suggested workflows, not transactions we ran in a customer's books.

Before you use the prompts

Connect your QuickBooks company to DeepLedger, then add DeepLedger's MCP URL to Grok:

Grok's custom connector accepts a server URL and asks you to authenticate. Business and Enterprise accounts may need an administrator to provision the connector first. Follow our Grok connection guide for the complete setup, or check xAI's connector instructions.

Use these examples in a conversation where DeepLedger's tools are available. Saying “connect” in a prompt does not replace the sign-in and authorization steps. Grok Bot has a separate plugin workflow; these examples do not establish that DeepLedger is listed in its catalog.

1. Record an unpaid supplier bill

You have received a supplier invoice and will pay it later. Attach the invoice, then ask:

Hey, use the DeepLedger MCP connection to QuickBooks for Pinebridge
Studio and record the attached supplier invoice as an unpaid bill.

Check whether this vendor invoice is already recorded. Show me the
vendor, invoice number, invoice date, due date, currency, line items,
taxes and proposed categories. Ask about anything missing instead of
guessing. After I confirm the proposed entry, record the bill and
return its QuickBooks reference. Leave it unpaid.

The useful result is a bill that agrees with the supplier document, with an amount still owed to the vendor. Review the due date and category suggestions before confirming. An AI summary of the attachment is not proof that the bill was saved; check the returned record in QuickBooks.

2. Record an expense you already paid

An expense paid at purchase needs different treatment from an unpaid bill. Intuit explains the distinction in its guide to bills, checks and expenses. If a bill already exists, record the payment against that bill rather than creating another expense.

For a new purchase paid by company card:

In Pinebridge Studio's QuickBooks, record the attached $85 office
supplies receipt dated September 24, 2026. It was paid in full using
our business credit card.

Find the correct card account and check for an existing expense or
bill for this purchase. Use the receipt's tax details and show the
proposed category and payment account. Ask me if either is unclear.
After I confirm, record it once and return the transaction reference.

If the purchase already appears in QuickBooks, the next step is to inspect that entry. A bank download and an accounting record can describe the same purchase. Asking the agent to create another expense does not resolve a matching problem.

3. Create a customer invoice

Tell Grok what was sold and when payment is due. Give it enough detail to find the customer and the appropriate product or service:

For Pinebridge Studio, prepare a QuickBooks invoice to Cedar Lane
Retail for $1,500 of design services completed in September 2026.
Use an invoice date of September 25, 2026 and a due date of
October 25, 2026.

Check for an existing invoice for this work. Use the existing customer
and appropriate service item. Ask me to confirm the customer or item
if there is more than one match, and check the applicable tax treatment.
Show the proposed invoice for approval, then create it after I confirm.
Do not email it or record a payment.

Review the saved invoice's customer, amount and open balance. Creating an invoice, sending it to the customer and recording its payment are separate requests. This prompt asks only for creation.

4. Record a deposit from payments already received

A deposit may combine several customer payments. Give the agent the bank deposit information and ask it to find the underlying payments before recording anything:

For Pinebridge Studio, prepare the September 25, 2026 deposit to
Business Checking from the customer payments listed in the attached
deposit summary.

Find those payments in QuickBooks and confirm that they are available
to include in a deposit. Check whether this deposit already exists.
Show each payment and any documented fee separately, and reconcile
the proposed net deposit to the summary. Ask about missing payments
or differences. After I approve, record the deposit and return its
QuickBooks reference. Do not create new sales to force a match.

This example assumes the underlying customer payments have already been recorded. If they have not, establish that fact first. A deposit should follow the evidence for the money received, including any documented deductions.

5. Explain last month's financial results

For reports, name the period and accounting basis. That makes the answer easier to reproduce in QuickBooks:

Using DeepLedger, analyze Pinebridge Studio's Profit and Loss for
August 1–31, 2026 on the accrual basis, and compare it with July 1–31,
2026 on the same basis. Use the whole company without class or
location filters. Do not change any records.

Show the company, currency, dates and report settings. Compare income,
cost of goods sold, expenses and net income. Explain the three largest
changes using supporting transactions. Retrieve all required detail
pages. Separate what the records show from questions that need more
information, and do not calculate percentage growth from zero.

Give the agent the missing context

Grok can use a document you attach or information made available through a separately authorized email or drive connector. DeepLedger's QuickBooks connection does not automatically give it access to your inbox or shared folders.

When the agent needs clarification, ask it to create a DeepLedger review task naming the document, the missing information and the decision required. You can also ask it to remember an approved accounting decision for Pinebridge Studio, with its scope and exceptions. A decision about one supplier should not become a rule for every purchase.
